How do I enter
a web conferencing room?
Before you
can enter a web conferencing room you will be asked
to login.
Enter your name in the Username box. If you are
logging in as a guest in someone else’s room, we
would suggest you ask them if there are any conventions
they would like you to use. For example, the host
or ‘moderator’ may prefer that you use your real
name, or simply identify yourself as a guest in
some way.
You may or may not be asked for a Room password,
if so enter the password.

You can also choose to login with ‘moderator’ status.
This is usually the owner of the room, however that
person may have given you the moderator codes to
login as a moderator. This might be the case if
you are renting or leasing the room temporarily
from the owner. If you do have the moderator codes

Remember to select your
‘Connection
speed’.
When you are finished click ‘OK’
to enter the room or ‘Cancel’
to exit the login.
When you first enter the room, you will see it is
split into several ‘areas’. We will cover each area
in turn in the ‘User's
Manual’, but for the purposes of this quick
start section
they are as follows:

Moderator Room Presentation Tabs
- Allows moderator to control the presentations.

Chat Area
Window/Box
- This is where you can type in your text messages
to other
members in the room, either publicly, or privately
depending on what the room ‘moderator’ allows. Moderator
may have the ‘Chat’
disabled, just like the ‘Talk
Now!’
may be disabled. The «+»
or «–»
are to zoom in or zoom out for the text size.
Text Chat Send
-
Use this to send you message or just press the Enter
key.

Buzz Room
Moderator
-
This allows you to buzz the room moderator.
Member's List
Window - This
window shows the names of the members currently
active
in the room. If there is a moderator in the room
his/her name will be highlighted in
blue.
Current Speaker
Window - This
area displays the web-cam image of the person currently
speaking. This can be switched on and off by the
moderator.
Audio Controllers
-
This area allows for the setting of microphone and
speaker volumes, next to the all-important ‘Talk
Now!’ button.
Status Strength
-
Signal Strength Provides ISP Information about your
connection.
Language Selection
-
The flag displayed
allows you to change the room to your country's
language for the room descriptions.
Help
-
Room owner defined help screens, this may or may
not be visible.

Moderator controls various settings that affect
the guest's usage. Example: ‘Chat’,
‘Talk Now!’
and ‘Webcam’
can be disabled/enabled .

If you have signed
out of the room, simply use the ‘Sign In’ button.
Sign Out

Simply use the ‘Sign Out’ button to exit the room.

Turn On/Off Microphone-Audio Stream (Speakers)
When a member of the room is talking, you will see
a small speaker icon appear to the left of their
name and they will be at the top of the list of
members.
If you see this and yet cannot hear anything, then
check your speaker settings. You may also need to
check your speaker settings for your sound card
too. This can usually be done via Windows ‘control
panel’ Also check your microphone volume and settings
here too.
Note:
Make sure your speakers are not disabled on your
computer or mobile device.
If you still cannot hear anything then try logging
out of the room and back in again.
Lastly you may even need to close all your programs
and restart your computer.

How
do I ‘Speak’ in the room? By using the ‘Talk
Now!’ button.

To speak in the web conferencing room, hover your
mouse pointer over the ‘Talk
Now!’ button
located at the bottom of the screen. Click and hold
the left mouse button to talk and let go when you
finish. It is advisable that you click a second
or two before you speak and likewise release it
shortly after you finish. This is particularly important
if you are on a very slow dial-up connection as
some small latency can occur. This is normal and
is purely a limitation of slow connections, however
this rarely affects the overall quality of speech
from such connections.
When you first enter the web conferencing room,
at an appropriate time, ask another member of the
room if they can hear you ok, to test your microphone.
Microphone
Volume Controls (Bottom
Slider)
Adjust the microphone volume up or down depending
on the response you get using the sliders on the
audio controllers.

What
if I can’t use the ‘Talk
Now!’ button?
Usually, by default the ‘Talk
Now!’ appears
in the bottom of the conference window.
If for some reason you cannot use it, then it has
been disabled. There should be a message stating
that it is disabled without a moderator in the room.

If you see the ‘Talk
Now!’ button
but it is grayed out, the moderator has disabled
it.
If the ‘Talk
Now!’ is not
disabled,
there is another button
.
This button enables and disables the hands-free
microphone option. In most cases this function is
only used by the moderator, so that he can keep
the microphone open while giving a presentation.

How
do I use the text chat?
The text chat is very easy to use. The text chat
area has two sections. The main viewing window and
the ‘Text
Message Box’.

Left click the mouse in the ‘Text
Message Box’
at the bottom of the main text chat area. You can
now type your message here. When you want to post
your message, left click on the ‘Send’
button or click the enter key on your keyboard.
You will see your message appear in the main text
chat area. When another member in the room replies,
you will see the results in the main area too.
Note:
The
moderator can disable this also as mentioned before.

What
if I can’t use the text chat?

If the
‘Text Message
Box’ appears
grayed out it has been disabled by the moderator.

What
about private messages?
The
Web Based Room
does not permit the
Guest's
to have private messages
by design.
The Moderator
has private
text messaging,
audio messaging
and video
messaging.

Private messaging may be enabled or disabled by
the moderator. If it is available, you can left
click on the small arrow next to the ‘private to’
box and select a member from the drop down list
to send a message to.
When you have selected a name, you then send a message
in the usual way by typing in the ‘your message
box’ and clicking ‘send’ or hitting enter on your
keyboard.
When you receive a private message, you will see
that in the main text chat window it will say- private
message from, followed by the name of the member
who sent it. No other member of the web conferencing
room will see this message.

How can I change the viewing size of the room?
The ‘Text
Chat Window’
can be made bigger or smaller depending on your
preference.
1) To close
the ‘Current
Speaker Box’
use the left
‘Window Box
Control’.
2) To close the ‘Members
Box’ use the
right
‘Window Box
Control’.
3) There is
also a
‘Resize
Slider’
between the ‘Main
Chat Box’
and the ‘Members
Box’.
Hover your mouse pointer between the two boxes and the slider
will appear.

How do I get people to log into my personal web
conferencing room?
With the Web
Based Room
you simply email or place a link on a website to
your room.

From your web conferencing back office, you can
download your version of the web conferencing room.
This is the software a user needs to execute in
order to log into your web conferencing room. Make
this file available for download on your website
or distribute it using e-mail, it's all up to you!
Please note that most mail servers will reject ".exe"
files so you need to "zip" it first.

else should I know about web conferencing?
That is most of the basics covered. You should now
be able to participate in a web conferencing call
without too much difficulty.
However, here
are just a few things you should be aware of.
There are
many functions that only a moderator can use, though
it is possible to have more than one moderator at
a time.
When a moderator
is giving a presentation, he/she may temporarily
disable certain functions until they are done and
open the room up for questions etc.
